How to organise a successful event

At Kava, we’ve organised a range of events for our clients, from online webinars to full scale conferences. One of our most notable events is the Small Cells World Summit, which brings together delegates from across the world who are part of the wireless connectivity ecosystem.

Whether you’re organising a corporate event, trade show, or webinar – here are our top tips for planning and executing a memorable event.

Before you’ve even begun to plan an event, you need to think about what you want your event to achieve. Are you looking to educate people, sell products or make connections?

From then on, every decision you make should be made with your final goal in mind.

Having a timeline will help you stay on track and help you organise when everything needs to be arranged. Whether it’s acquiring sponsors, exhibitors, or caterers. Make it as detailed as you can, missing something small out can end up being critical.

Your timeline will also help you see where you are in your planning and whether you’re ahead or running behind. We recommend starting early when it comes to any event whether it’s months or years away – give yourself plenty of time to make it as best as you can.

Setting a budget will help you to prioritise what you need at an event and help you to decide which desired extras you can afford. For example, if it was non-negotiable to have catering and entertainment at your event, you might want to think about reducing how much branding and decoration you have. Without a strict budget, you could risk breaking even or working at a loss.

Events don’t always run to plan. So having a backup plan is a good idea so that there’s less stress and running about on the day. That could be wet weather plans for an outside event, or a protocol for what you will do if a speaker doesn’t turn up on the day.

To make sure you’re as prepared as possible, run through your event timings with your team the day before your event. This will help answer any last-minute questions and clarify everyone’s responsibilities.

It’s also important to check all of the technology before your event, such as microphones, projectors, PowerPoint presentations, lighting, etc. This will help you to avoid any glitches and delays on the day.

Determine what a successful event is to you, is it by the number of ticket sales, the social media interaction you received or the amount of positive feedback you received?

Knowing how well your event went will also help you with how you run your next event so that it can be even more successful than the first. It’s also a good idea to run a de-brief session with your team afterwards to round up their thoughts on how the event went. You could even send out a survey to your attendees to get their opinions too.
